Bottom line

Expensya is an expense management platform that automates receipt capture, approvals, and card-based spending controls for finance teams. Its clearest strength is the depth of its ERP, accounting, and travel integrations, along with legal archiving built for multi-subsidiary companies. The main cost to watch is that pricing is provided on request, and payment cards, Microsoft Teams, and bank integration are extra. Mid-sized and enterprise finance teams with several subsidiaries and existing ERP systems should consider it first.

What is Expensya?

Expensya is an expense management platform that captures receipts, routes expense reports through approvals, and applies company spending policies before money leaves the business. It is being folded into Medius Expense, and the product is sold under both names during the transition. Its core purpose is to replace manual expense reporting with automated data capture and clear rules for employee spending.

Employees photograph receipts in the mobile app, which creates an itemized expense entry in any currency, works offline, and converts amounts automatically. Finance teams can issue Expensya payment cards, physical or virtual, with budget limits by expense category, vendor type, and time period. Companies that already have corporate cards can connect them through Bring Your Own Card, so transactions flow into the platform without changing banks or issuers. Policies are loaded into the system so employees get answers to spending questions in the flow of work.

The platform serves freelancers, small businesses, mid-sized companies, and enterprises. Pricing is provided on request, and the premium package covers multi-subsidiary management, custom approval workflows, mileage and per diem management, and single sign-on with multi-factor authentication. Payment cards, Microsoft Teams integration, and bank integration are sold separately as add-ons.

What sets Expensya apart is its breadth of managed integrations. It connects to ERP and accounting systems such as SAP S/4HANA, Oracle JD Edwards, Microsoft Dynamics, and Sage, along with travel platforms including Amex GBT Egencia, TravelPerk, and Uber. Its legal archiving stores digital receipts to the NF Z 42-013 standard for all subsidiaries, which many expense tools do not address.
