Bottom line

OnTheClock is a time clock and scheduling tool that also runs payroll, with location checks on every punch. Its clearest strength is that GPS, geofencing, and device or network restrictions make clock-ins harder to fake, and approved hours can flow straight into payroll. Watch the cost: payroll is a paid add-on with a $40 base fee and a $250 migration fee, and Enterprise pricing is not published. It fits small businesses with hourly or field crews that want location-verified hours without a complicated setup.

What is OnTheClock?

OnTheClock is a web-based time clock and workforce tool for small and midsize businesses. It records when employees start and stop work, then passes approved hours to payroll. It targets a common problem for hourly and field teams: paper timesheets, spreadsheet entry, and punches made from the wrong place or by someone other than the employee.

Employees clock in from a mobile app for iOS or Android, a desktop or browser, or a shared kiosk, and can use a fingerprint option where it is set up. Each punch can record GPS coordinates. Managers can set geofences so clock-ins only work inside a job site area, and they can restrict punches by device, IP address, or Wi-Fi network. Managers review timecards, approve hours, and watch the Who's In dashboard to see who is on the clock. Schedules are built with drag-and-drop, shared by email, web, PDF, or Excel, and compared against actual hours worked. PTO balances accrue automatically, and time-off requests are approved in the same system.

The platform suits small businesses with hourly or mobile crews, including construction, cleaning services, food and beverage, medical offices, and retail. Pricing is per employee. The time tracking, scheduling, and PTO plan costs $4 per employee per month plus a $5 monthly base fee, billed monthly after a 30-day free trial that requires no credit card. OnTheClock Payroll is an add-on at $6 per paid employee per month plus a $40 base fee, with a one-time $250 migration fee. Teams with more than 100 employees are routed to a custom Enterprise plan.

What sets OnTheClock apart is the pairing of location verification with payroll. Many time clocks stop at recording hours. This one ties GPS, geofencing, and network restrictions to each punch, and it can either run payroll directly or send approved hours to outside providers. Those include ADP RUN, QuickBooks Online, Paychex, Paylocity, Square Payroll, and Gusto, along with CSV and PDF exports.
