PayHOA review
Bottom line
PayHOA is HOA accounting and resident management software that keeps dues, the general ledger, and owner communication in one system. Its clearest strength is that every feature is included at every size, with free onboarding, data import, and support. The main cost to watch is the stack of add-ons and fees, including online payment convenience fees, a $275 monthly minimum for management companies, and Gable AI billing after three months. Self-managed boards and management companies that want accounting and owner tools together should consider it first.
What is PayHOA?
PayHOA is web-based software for homeowners associations and condo communities. It brings dues collection, accounting, owner communication, resident requests, violation tracking, and document storage into one system, so boards don't have to juggle spreadsheets and separate tools. It is built for volunteer-run boards that manage themselves, and for management companies that run several communities.
Day to day, the association sends recurring or one-time invoices to every unit, and homeowners pay by ACH, card, or autopay. Each payment posts to the general ledger. Bank accounts link to more than 15,000 banks, and rules code incoming transactions as they arrive, with reconciliation built in. A payables inbox routes vendor bills through approvals set by amount. Homeowners use a portal for their dues, documents, and requests. Request forms and approval workflows handle architectural and other requests, while violation tracking produces letters. Boards can run voting and surveys, post on message boards, send texts, emails, and calls, and have letters printed and mailed through the Mail Room.
Self-managed associations and management companies both use PayHOA. Every plan includes the full feature set, so a 12-unit community and a 500-unit community get the same software. Pricing depends on unit count. A community of 1 to 25 units pays $49 a month billed yearly, and communities over 500 units and management companies pay $0.55 per unit a month. Management companies carry a $275 monthly minimum. A 30-day free trial requires no credit card, and onboarding and data import are free.
The difference from a typical association tool is the accounting. PayHOA runs a full general ledger with cash or accrual reporting and a custom chart of accounts, so the books live in the same place as dues and payments. Gable, its built-in AI assistant, answers questions with citations to the association's governing documents, drafts letters, and categorizes transactions. Gable does not post or send anything until a board member approves it.
