UpKeep review
Bottom line
UpKeep is a mobile-first CMMS that centralizes work orders, preventive maintenance, asset history, and parts for in-house maintenance teams. Its clearest strength is how work orders, inspections, and sensor readings all write to the same asset record, which makes audits easier to prepare. The main cost to watch is tier gating: offline mode, analytics history, and API access sit on higher plans, and Professional and Enterprise pricing requires a quote. Teams that manage their own technicians and assets across one or more sites should evaluate it first.
What is UpKeep?
UpKeep is a computerized maintenance management system, or CMMS, built to keep equipment, facilities, and vehicles running. It puts work orders, preventive maintenance, asset history, and parts inventory in one web platform, so maintenance teams can stop tracking jobs on paper, whiteboards, and spreadsheets. The product also extends into safety and compliance records, AI assistance, and edge sensors that feed the same asset data.
Day to day, requests arrive through an external request portal or as internal requests, and each becomes a work order that can be assigned and tracked in real time. Technicians receive mobile push notifications when a job is assigned and can attach photos, checklists, and signatures from a phone. Preventive maintenance schedules can run by time, by meter reading, or at AI-recommended intervals, and each completed task is added to the asset's history. Parts quantities, reorder points, and purchase orders are managed from the same records. On the Professional plan and above, technicians can keep working offline, with cached work orders and drafts syncing when a connection returns.
UpKeep is built for in-house maintenance teams in manufacturing, facilities, food and beverage, transportation, and healthcare, and the company reports more than 4,000 customers. Pricing is per user. The Essential plan starts at $24 per user per month and includes unlimited work orders and unlimited locations. Premium adds PM scheduling, custom checklists, and parts management with costing for $55 per user per month. Professional and Enterprise pricing is provided on request and adds offline mode, full analytics history, multi-site modules, and API access. Implementation packages are sold separately, from $500 for training alone to $1,500 for guided setup and data migration.
What sets UpKeep apart is how closely maintenance, safety, and sensor data share one record. A sensor reading can open a work order automatically, and a failed inspection item can become a tracked corrective action with an owner and due date. Frontline safety reports can be submitted by scanning a QR code without a login, and the audit trail records who did what and when, with digital signatures attached. Where a basic work order tool stops at the job itself, UpKeep keeps the inspection, incident, and asset history connected to it.
